TEDxHayesValley respects your privacy. This Privacy Policy explains what information we collect through the TEDxHayesValley website, how we use it, how we protect it, and the choices available to you. TEDxHayesValley is an independently organized TEDx event operated under license from TED Conferences, LLC ("TED"). TEDx events are independently organized and operated and are not operated by TED.

1. Information We Collect

We may collect personal information that you voluntarily provide to us, including:

  • First and last name

  • Email address

  • Information submitted through our newsletter signup

  • Information submitted through speaker applications

  • Information submitted through volunteer applications, when available

  • Other information you voluntarily provide to us in connection with the TEDxHayesValley event

We do not ask you to provide sensitive personal information unless it is reasonably necessary for a specific TEDx-related purpose.

Our website may also automatically collect limited technical information through cookies and similar technologies, such as browser type, device information, and information about how visitors interact with the website.

We collect information when you:

  • Subscribe to our newsletter;

  • Submit a speaker application;

  • Submit a volunteer application, when available;

  • Register for or purchase tickets to our event, when applicable; or

  • Otherwise voluntarily provide information to TEDxHayesValley.

Our speaker application is provided through Google Forms. Information submitted through that form is processed using Google's services and is also subject to Google's applicable privacy practices.

3. How We Use Personal Information

We use personal information for legitimate TEDxHayesValley purposes, including to:

  • Communicate with people who have requested information from us;

  • Send newsletters and event-related communications;

  • Review and respond to speaker applications;

  • Recruit and communicate with volunteers;

  • Organize and administer the TEDxHayesValley event;

  • Communicate with speakers, team members, attendees, and applicants;

  • Maintain records necessary to organize and administer our TEDx event;

  • Comply with the requirements of TED and our TEDx license;

  • Improve and administer our website; and

  • Comply with applicable legal obligations.

If you are selected as a TEDx speaker, certain information about you may be used in connection with the promotion, documentation, and publication of the TEDx event and your TEDx talk, consistent with applicable TED policies and requirements. TED may separately collect and process information relating to TEDx organizers, speakers, attendees, and events in accordance with TED's Privacy Policy.

4. TED and TEDx

TEDxHayesValley is independently organized and operated under license from TED.

As part of organizing a TEDx event, certain information may need to be shared with TED or processed by TED for purposes related to the TEDx program. These purposes may include maintaining TEDx speaker information, administering the TEDx license, communicating with TEDx organizers, publishing information about TEDx events and talks, and collecting attendee feedback.

5. Service Providers

We may use third-party service providers to operate portions of our website or event activities. Currently, our website is hosted on Squarespace, and our speaker application is provided through Google Forms.

We do not sell your personal information. We do not provide personal information to third parties for their own independent marketing purposes.

We may disclose information to service providers when reasonably necessary for them to provide services to TEDxHayesValley, subject to appropriate safeguards and applicable law. We may also disclose information when required by law, to protect our rights or safety, or as necessary to administer the TEDx event and comply with our obligations.

6. Newsletter Communications

If you subscribe to our newsletter, we will use the information you provide to send you communications from TEDxHayesValley. You may unsubscribe from our marketing emails at any time by using the unsubscribe mechanism included in those emails. Unsubscribing from marketing communications does not necessarily delete other information we may need to retain for legitimate organizational, legal, or TEDx-related purposes.

7. Speaker and Volunteer Applications

Information submitted through a speaker or volunteer application is used to evaluate applications, communicate with applicants, and organize the TEDxHayesValley event.

We will limit access to application information to members of the TEDxHayesValley organizing team and service providers who reasonably need access to perform their roles. Information submitted through a Google Form may be stored or processed through Google's services. If you submit an application, you should avoid including information that is not requested or reasonably necessary for the application.

8. Cookies and Similar Technologies

Our website uses cookies and similar technologies that are necessary for the operation of the website and may use additional technologies provided by Squarespace. We use Squarespace's cookie controls to provide visitors with choices regarding non-essential cookies where applicable. We currently do not use advertising pixels or third-party advertising trackers on the website.

As we add services such as analytics, social-media features, video embeds, ticketing platforms, or other third-party services, our use of cookies and similar technologies may change. We will update this Privacy Policy and our cookie controls as appropriate. You can manage available cookie preferences through the cookie controls provided on our website.
